Guide to RingCentral Events

RingCentral Events is the platform we are using to host our live streaming and catch up videos. The use of RingCentral Events is thanks to the generosity of Glasgow 2024. This is the same platform as will be used at this year’s Worldcon, Glasgow 2024.

We aim to stream as much of the programme as we can, and make as much available for catch up as we can. However, some items will not be streamed and/or made available for catch up, either because it doesn’t make sense for the type of item (e.g. workshops), or because one or more panellists does not wish to be recorded. Pay attention to the “On site only” and “No catch up available” tags in the programme guide to make sure you’re not disappointed.

We will make items available for catch up as soon as we are able to, but it may sometimes be a day or two. Catch up will be available for 30 days after the end of the convention.

RingCentral Events works in all popular browsers on desktop and mobile. Note, however, closed captions for live events are only available in Google Chrome on the desktop. Closed captions on catch up are available on all platforms.

Logging in to RingCentral Events

  1. Log into the members portal (see our guide to the members portal)
  2. Click “Stream and Catch up”
  3. Click the “Go to Ring Central Events” button
  4. You will be taken to the RingCentral Events platform and automatically logged in

The first time you do, you will get an e-mail saying “Thank you for registering to Levitation 2024”. This e-mail will contain a link saying “Enter event”. To get back to the RingCentral Events platform in the future, you can either click this link in the e-mail, or you can click the “Go to Ring Central Events” button in the members portal.

Watching a live stream

  1. Click “Rooms” in the left hand side / bottom of the screen.
  2. Click the room you want to watch the stream for.
  1. The stream should now be playing.
  2. If the sidebar is open, you can collapse it by clicking the |-> button near the top
  1. You can play and pause the stream. If you play after pausing, it will continue from where you paused. To jump to live to make sure you’re watching in-sync with everyone else in the Discord chat, you can click the “Live” icon.

Captions

The live streams have automatically generated captions. Unfortunately, this is only available in Google Chrome on the desktop. (Captions will be available for catch up items on all platforms).

To show the captions you must:

  1. Be using Google Chrome on the desktop
  2. Not have the video full-screen
  3. Not have the audio muted

You can then click the closed captions icon and the captions will appear below the video.

Picture in picture

Depending on the capabilities of the browser and operating system you are watching on, you may be able to enable “picture in picture” mode. This will pop the video out into a small video player in the corner of your screen. This can be especially useful on mobile if you want to have the stream playing while also talking in the Discord thread about the item.

AirPlay and Casting

Depending on the capabilities of the browser and operating system you are watching on, you may be able to AirPlay or cast the video to another device such as a TV.

To AirPlay, tap the AirPlay button, then select the device you want to AirPlay to.

Watching Catch Up

  1. Click “Catch Up” on the left hand side / bottom of the screen
  2. Optionally filter the events by day
  3. Click the item you want to watch
  1. You can play, pause and jump through the video.

Captions

Automatically generated captions are available on all platforms for catch up items.

Tap the captions button (you may need to tap the “…” button on some platforms) and select “English”.

Picture in Picture

Mobile app

There is a mobile app for RingCentral Events. However, getting to the event through it is complicated, and so we are not recommending it as the primary method of interacting with RingCentral Events. Feel free to try and use it, but the convention does not have the resources to provide any help or support with it.
